Subscription Information

Subscription information displays details about frequency, cycles, billing type, and payment method, as well as billing history, product, and related customer.

Before starting, you need to…

  • Be an administrator user or have permission to perform the following actions.

  • Have one or more registered subscriptions.


Status and Current Cycle

In the Detail section, you can view basic subscription information such as current status, update dates, product, and current cycle. You can also access the options menu to modify the subscription.

Steps:

1 - Select the desired subscription - a screen with the data will be displayed.

2 - Click on Detail.

3 - Check the 4 available blocks:

Detail

Displays the data for the subscription in question.

  1. Current status: current subscription status label - will be displayed one of the possible subscription statuses;

  2. Code: product identification code;

  3. Payment method: payment method used for charges;

  4. Charged every: billing interval;

  5. Trial days: duration (in days) of the free period - when applicable;

  6. Installments: number of installments;

  7. Last value: gross amount of the last payment received;

  8. Last net value: net amount of the last payment received;

  9. Started at: start date of the subscription;

  10. Status at: date of the last status update;

  11. Canceled at: cancellation date of the subscription - left blank when the subscription is active.

Current Cycle

Displays data related to the current cycle (period) of the subscription.

  1. Started at: start date of the current cycle;

  2. Ends at: end date of the current cycle;

  3. Next cycle at: expected date for the next charge (subscription renewal), when applicable;

  4. Cycle: current cycle number;

  5. Cancel at cycle end: indicates that there will be no further charge at the end of the current cycle;

  6. Is cycling: indicates that the subscription is in the renewal process1 - charge will be scheduled within a few hours or is already scheduled.

(1) During the renewal process, some subscription modification actions are unavailable. E.g.: change subscription.
Product

Displays data for the product (plan) linked to the subscription.

  1. Name: name of the product linked to the subscription;

  2. Marketplace: payment processor that will receive transactions (charges);

  3. Marketplace ID: ID of the payment processor that will receive transactions (charges);

  4. Offer: name of the offer linked to the subscription.

Renewal

Displays data related to the subscription renewal.

  1. Product Name: name of the product linked to the subscription;

  2. Marketplace: payment processor that will receive transactions (charges);

  3. Marketplace ID: ID of the payment processor that will receive transactions (charges);

  4. Offer: name of the offer linked to the subscription;

  5. Installment: number of installments;

  6. Value1: total subscription amount.

1 Includes discounts or surcharges, meaning it reflects the final amount to pay.

Subscriber

In the Subscriber section, you can view basic information about the customer (contact) linked to the subscription.

Steps:

1 - Select the desired subscription - a screen with the data will be displayed.

2 - Click on Subscriber.

3 - Check the subscriber information organized into 3 sections:

  1. Subscriber: name, email, tax ID/document, phone number, and link to start a WhatsApp conversation with the customer.

  2. Address: address provided by the subscriber (when applicable).

Each subscriber is automatically registered as a contact. You can click on the name to view all contact information.

Invoices

In the Invoices section, you can check the list of charges linked to the subscription.

The Guru generates an invoice for each subscription charge (activation, renewal, and upgrade*).

Steps:

1 - Select the desired subscription - a screen with the data will be displayed.

2 - Click on Invoices.

3 - The list displays the following information:

  1. Code: invoice identification code.

  2. Cycle: subscription cycle number associated with the invoice (charge).

  3. Value: charge amount.

  4. Charged at: billing date.

  5. Type: charge type - can be cycle (activation/renewal) or upgrade.

4 - To view other invoice information, you can click on the desired invoice.

Invoice details

To view invoice information, check the 2 available sections:

Detail

Displays detailed information for the invoice (charge) in question.

  1. Current status: current subscription status label - will be displayed one of the possible subscription statuses;

  2. Code: invoice (charge) identifier code;

  3. Type: type of charge performed - possible values such as cycle (activation/renewal) or upgrade;

  4. Cycle: subscription cycle number associated with the invoice (charge);

  5. Cycle Start: start date of the cycle associated with the invoice;

  6. Cycle End: end date of the cycle associated with the invoice;

  7. Charged at: date the charge was made;

  8. Payment attempts: indicates on which attempt the renewal payment was processed or settled - the system records whether the invoice was paid on the 1st attempt or if it required retries (2nd, 3rd, 4th, etc.) after initial failures;

  9. Paid at: exact date when the charge for that invoice was completed and payment was confirmed;

  10. Days until payment: indicates how long (in days) the subscription was settled after the initial charge failed;

  11. One-time payment: indicates if the invoice was paid via an individual link - displays if the charge was paid outside the system's automatic flow;

  12. Tax: tax amount;

  13. Increment: surcharge amount applied to the charge;

  14. Value: charge amount;

  15. Discount: discount amount applied to the charge;

  16. Created at: invoice creation date (scheduling);

  17. Updated at: most recent invoice update date.

Sales

Displays the list of sales (payment transactions) associated with the invoice (charge) in question.

  1. Current status: current subscription status label - will be displayed one of the possible subscription statuses;

  2. Code: sale identification code;

  3. Product: product associated with the subscription in question;

  4. Ordered at: transaction creation date (sale);

  5. Value: amount charged;

  6. Payment method: icon indicating the registered payment method for charges - hover over the icon to view the label.

You can click on the code to view all sale information.


Sales

In the Sales section, you can view the list of sales (payment transactions) associated with the subscription.

Steps:

1 - Select the desired subscription - a screen with the data will be displayed.

2 - Click on Sales.

3 - The list displays the following information:

  1. Status: current sale status label - will be displayed one of the possible sale statuses;

  2. Code: sale identification code.

  3. Product: product associated with the subscription in question.

  4. Ordered at: transaction creation date (sale).

  5. Value: amount charged.

  6. Payment method: icon indicating the registered payment method for charges - hover over the icon to view the label.

You can click on the code to view all sale information.


Contracts

In the Contracts section, you can view the contracts associated with the subscription, including the identification code and signing date.

Steps:

1 - Select the desired subscription - a screen with the data will be displayed.

2 - Access the Contracts tab.

The following information is available:

  1. ID: envelope/document identifier from your contract platform - in the case of D4Sign, it will be the document UUID, and for DocuSign it will be the envelope ID;

  2. Signed at: contract signing date.

The contract information displayed depends on the contract platforms integrated with your account.


Comments

In the Comments section, you can view and manage comments related to a subscription. This option is useful for recording important notes and making them available to other team members.

View Comments

Steps:

1 - Select the desired subscription - a screen with the data will be displayed.

2 - Click on Comments.

3 - The list of comments is displayed on a timeline (from newest to oldest).

Manage Comments

You can add, edit, or remove comments from a subscription.

Add Comment

Steps:

1 - Access the desired subscription data - a screen with the subscription will be displayed.

2 - Click on Comments.

3 - Next, click Add Comment - an edit screen will be displayed.

4 - Enter the desired comment.

5 - Click Send.

Update Comment

Steps:

1 - On the desired comment, click Update (pencil icon).

3 - Click Send.

Remove Comment

Steps:

1 - On the desired comment, click Remove (trash icon).

2 - A confirmation window is displayed. If you want to proceed with the removal, click Confirm.

Audit

As a data security and transparency measure, Guru stores a history of all events associated with the subscription, identifying the type of event, user1 involved, and infrastructure data1.

Event Type

Cancellation, plan change, or update of payment details.

Billing Process

Start, scheduling, or interruption2 of the billing process.

Information sent/received

Integrations and webhooks active and associated.

(1) Displayed only when applicable.
(2) Displayed when the number of billing cycles is exhausted - applies to subscriptions with predefined cycles.

Steps:

1 - Select the desired subscription - a screen with the details will be displayed.

2 - Click on the Audit tab.

3 - Activities are displayed on a timeline (from most recent to oldest).

4 - If desired, you can view the activity details by clicking on its title.

5 - Click on one of the available sections to view the data:

Detail

Displays detailed information about the event in question.

  1. ID: activity identification code;

  2. Type: event name;

  3. JSON1: event data in JSON format - when applicable;

  4. Queued1 at: date/time the item was added to the processing queue;

  5. Started1 at: date/time processing started;

  6. Finished1 at: date/time processing finished;

  7. Created at: item creation date.

(1) Displayed only for events that pass through Guru's processing queue.

How to filter the Audit list

You can use filters to view a smaller subset of existing audits. This feature is useful for finding specific audits you wish to view.

By default, only records from the last 28 days will be shown, but the time frame can be changed in the filters, in the Period. field.

Steps:

1 - Select the desired subscription - a screen with the details will be displayed.

2 - Click on the Audit tab.

3 - In Audit, click on Filters.

4 - Fill in one or more filter options:

  1. Period: searches for audits registered in the selected period - you can use the predefined time range buttons or select the date you wish to view.

5 - Click Filter.

You can view the number of applied filters and, when using them, you will be able to clear them without accessing the Filters icon again, making selection removal easier.
