FAQ - E-ticket Dashboards

Group Configuration for Event Management

In this section, you will find answers to questions related to group configurations for event management.

- How to select the Product Group to view the E-ticket Dashboards?

To select a Product Group and view its data in the Guru Dashboards, you must use the Filters. feature.

To do this, you must access the Dashboardsmenu, select the E-ticket Dashboard, and then click on Filters. In Filters, in the Groups field, select the desired Product Group from the list.

The visualization of E-ticket Dashboard information is necessarily based on a product group. The dashboard does not display aggregated data from all events simultaneously, only from the selected group.

For the group to appear in this selection list, you must have previously activated the option Group for event management (E-tickets) in the product group settings.

- How to configure the Product Group to manage an event?

To configure a Product Group to manage an event (and for the metrics to appear in the E-ticket Dashboard), you must create a group and activate the Group for event management (E-tickets).configuration.

To do this, you must:

  1. Create and Configure the Group:

    1. Access Settings, select Product Groups and click on Add (or edit an existing group), fill in Group name (e.g., Your Event Name) and then activate the option Group for event management (E-tickets).

  1. Associate Products (Tickets) with the Group: for the system to know which products are part of this event, you must link them to the newly created group.

    1. When creating the group: you can add existing products by clicking on the Products tab within the Product Group. To do this, you must click on the created product group, click on Add Product and select the Existing option to search for already registered E-ticket type products; or

    2. In the product registration: alternatively, when creating or editing an individual product (products Menu), you can select this group in the Product Group field.

Why is this configuration necessary?

Activating the option Group for event management (E-tickets) is what "unlocks" the visualization of the E-ticket Dashboards (Stock and Operation). Without this option active, the system will treat the group only as a generic sales aggregator and will not display check-in graphs, assigned participants, or entry flow.


Information Concepts

In this section, you will find answers to questions related to the concepts of e-ticket status information.

- What is the difference between Open and Assigned tickets?

The fundamental difference between Open tickets and Assigned tickets lies in the identification of the final participant and the availability for event access.

In the E-ticket Dashboards, the definitions are:

- What stock metrics does the E-ticket dashboard display in detail?

The E-tickets - Stock dashboard displays detailed metrics for ticket control, providing a clear view of availability and sales performance.

The metrics presented are:

  • Total: the total number of e-tickets (tickets) put up for sale associated with the event's product group;

  • Sold: the total number of tickets that have already been purchased and had payment confirmed;

  • Reserved: the number of tickets awaiting payment (e.g., printed slips or pending transactions), being temporarily removed from available stock; and

  • Available: the number of remaining tickets that can still be sold.

And what other levels of detail?

In addition to the general numbers, the dashboard details these metrics in two visual and analytical ways, which are:

By Product: a graph that lists each type of ticket (product) created for the event, comparing the defined maximum stock with the quantity of sales and reservations made; and

By Offer: showing a list of the performance of specific offers (such as promotional batches), displaying the Total, Sold, Reserved, and Available columns for each variation.

Operational Analysis

In this section, you will find answers to questions related to the concepts and operational analysis of e-tickets.

- Difference between Stock and Operation views in E-tickets?

The main difference between the views lies in the objective of the analysis, where the Stock Dashboard focuses on sales capacity and availability, while the Operation Dashboard focuses on the ticket lifecycle and the logistical flow of participants at the event.

How to analyze the main indicators?

Stock View

Serves to manage supply and demand, analyzing the total number of tickets defined in the product group and their quantitative distribution.

Total analyzes the total capacity of tickets (e-tickets) configured for the event.

Sold presents the quantity actually purchased.

Reserved indicates tickets that are awaiting payment confirmation or checkout completion.

Available presents the remaining balance of tickets that can still be sold.

In Stock by product and offer, you can view the stock by product and by offer, helping to identify which types of tickets (e.g., VIP vs. General Admission) are selling faster or are sold out.

Operation View

This view serves to manage ticket usage after sale and analyzes the current status of each ticket sold or issued, tracking the journey from purchase to validation.

Open indicates purchased or generated tickets that do not yet have an associated participant.

Guests displays tickets that already have an associated participant, but the participant has not yet confirmed/generated the final QR Code for access.

Assigned indicates that tickets are ready for use (participant associated and QR Code generated).

Checked-in shows participants who have already had their entry validated at the event (checked in at the event).

These indicators allow monitoring pre-event engagement (how many people have already assigned their tickets) and performing Flow Management on the day of the event, tracking the entry rate in real time.

It is necessary to select a Product Group configured for event management.

To view the information on the Dashboard, it is necessary to create a product group and activate the option Group for E-ticket event management in the group settings.

- How does the check-in status affect operational metrics?

The check-in status directly impacts operational metrics by confirming the participant's presence and ending the operational lifecycle of that specific ticket.

In the E-ticket Dashboard - Operation, this status affects the data in the following way:

  1. Checked-in Metric: when the status of a ticket changes to Checked-in (either via QR Code scanning in Credentialing Mode or manual), it feeds the Checked-in metric - this number represents the total number of tickets that were effectively validated for event access, differentiating them from tickets that are only sold or assigned;

  2. Flow Management: the status allows calculating the participant conversion rate on the day of the event - by comparing the number of tickets with Checked-in status versus Assigned (tickets ready for use), the organizer can monitor the entry flow in real time and verify the attendance percentage per product;

  3. Status "Assigned": for a ticket to affect the Checked-inmetric, it must necessarily have passed through the Assigned status (have a final participant assigned) - the system requires the ticket to be assigned to allow entry validation.

The check-in status is the definitive metric of operational success and event occupancy at the time of its realization.
