Configure the submission of data for contract fulfillment

The contract access management in the DocuSign area is done automatically. You can send sales/signature data to DocuSign, which will be used to dynamically fill in the contract. For example, you can automatically fill in the buyer's or signer's name, present at checkout, in the DocuSign contract.

The buyer's name and email fields are already automatically filled in by Guru. You will need to map the remaining fields you wish to use.

Map the sales/signature field to a contract field in DocuSign

Add sales/signature fields to fill in the contract in DocuSign.

Before configuring Guru to manage access to a contract in DocuSign, you need to:

Steps:

1 - Access the guru admin with your username and password.

2 - In the side menu, go to Settings > Integrations > Contracts > DocuSign.

3 - Click on Additional Settings and then on Field Mapping.

4 - According to the mapping you want to perform, select Signatures or Sales. Example: if you sell a subscription product, select the Signatures option.

5 - Then, click on Add Mapping.

6 - Enter:

  1. Subscription/transaction field (sales): select the subscription/sales field you want to send to the contract;

  2. Template: select the template created in DocuSign;

  3. Document: select the document where the contract field (destination) is inserted;

  4. Field DocuSign: select the field where the sent value should be recorded.

7 - Click on Send.

To confirm that the mapping was created successfully, you should see a notification in the upper right corner.

8 - Repeat steps 4 to 6 for each mapping you wish to perform.


View the list of Mapped Fields

By default, the list of mappings is organized by creation date (from newest to oldest). For faster page loading, only the first records are displayed. If you want to view the remaining items in the list, you can scroll to the bottom of the page and click on View more in the bottom center of the screen.

Steps:

1 - Access the guru admin with your username and password.

2 - In the side menu, go to Settings > Integrations > Contracts > DocuSign.

3 - Click on Additional Settings and then on Field Mapping.

4 - According to the mapping you want to perform, select Subscriptions or Sales. Example: if you sell a subscription product, select the Subscriptions option.

5 - The list displays the following information:

  1. Subscription/transaction field (sales): the subscription/sales field you want to send to the contract;

  2. Template: the template created in DocuSign;

  3. Document: the document where the contract field (destination) is inserted;

  4. Field DocuSign: the field where the sent value should be recorded.

Update Field Mapping

Once created, it is possible to update a field mapping. This feature is useful when you need to change the rule for sending a field in DocuSign.

When updating the mapping, Guru will adopt the new access/block rule for the field.

Steps:

1 - In the list, locate the desired product and click on it.

2 - Enter:

  1. Subscription/transaction field (sales): select the subscription/sales field you want to send to the contract;

  2. Template: select the template created in DocuSign;

  3. Document: select the document where the contract field (destination) is inserted;

  4. Field DocuSign: select the field where the sent value should be recorded.

3 – Click on Send.

A message will be displayed indicating that the mapping was successfully updated.


Delete Field Mapping

Once created, it is possible to remove a product mapping. This feature is useful when you no longer want to send a specific sales and signature field to a contract.

Steps:

1 - In the list, locate the desired mapping and click on the button Remove corresponding to it.

2 - Confirm if you want to proceed with the deletion. To confirm that the field has been deleted, a message will be displayed for a few seconds in the top right corner of the page.

From this moment on, Guru will no longer send the removed field to fill in the contract in DocuSign.


View Audit

As a security measure, Guru stores a history of all operations performed in field mapping, identifying the user, date/time of the operation, and other details.

Steps:

1 - In the side menu, go to Settings > Integrations > Contracts > DocuSign.

2 - Click on Additional Settings and then on Field Mapping.

3 - Click on the Audit tab.

4 - Activities are displayed in a timeline (from most recent to oldest).

5 - If desired, you can view the activity details by clicking on its title.

6 - Click on one of the available sections to view the data:

Detail

Displays detailed information about the activity in question.

  1. ID: identification number (ID) of the update;

  2. Type of change performed;

  3. Created at: date of activity registration.

User

Displays information about the user who performed the action.

  1. Name: name of the user who performed the operation;

  2. Email: email of the user who performed the operation.

Infrastructure

Displays infrastructure information (country, IP, user agent…) related to the activity.

  1. Country, Region, City, Latitude & Longitude: location of the device that performed the activity.

  2. IP: ip address of the device.

  3. User Agent: identification of the user agent that performed the operation.

View Audit filters

You can use the filters to view a smaller subset of existing audits. This feature is useful for finding specific audits you want to view.

By default, only records from the last 28 days will be shown, but the period can be changed in the filters, in the field Period.

Steps:

1 - In the side menu, go to Settings > Integrations > Contracts > DocuSign.

2 - Click on Additional Settings and then on Field Mapping.

3 - Click on the Audit tab.

4 - In Audit, click on Filters.

5 - Fill in one or more filter options:

  1. Period: searches for audits registered in the selected period - you can use the predefined time range buttons or select the date you want to view;

6 - Click on Filter.

You can view the number of applied filters, and by using them, you can clear them without accessing the Filters icon again, making it easier to remove the selection.
