Invoice Report Concepts

The Invoice Report gathers essential identification and financial performance data for charges made by your business.

It allows you to view, in a single file, detailed customer information, exact service periods, the status of the invoice and all transacted values (gross, taxes, discounts, and surcharges), facilitating precise financial reconciliation and a complete audit of each billing cycle over the selected period.

Before you start, you need to…

Invoice Identification

In this section, you will find the essential identification codes for locating and correctly associating the invoice with the customer's history and the corresponding subscription in Guru.

Available data includes:

  1. Invoice Code: displays the invoice identification number;

  2. Subscription Code: displays the subscription identification code.

This information allows you to confirm your link to the customer's subscription and ensure consistent financial control, with essential data for reconciliations, customer support, and internal audits.

In addition to the information listed in the exported XLS file, you can consult information about your invoices in the Invoice Report in the Guru admin.


Customer Data

In this section, you have access to basic customer data, facilitating contact identification in the report.

Available data includes:

  1. Name: displays the customer's full name;

  2. Email: displays the customer's contact email;

  3. Document: displays the customer's document number.

This data allows you to quickly identify the customer responsible for the invoice, validate registration information and ensure that your analysis is performed with the financial and operational data associated with the correct contact. This facilitates customer service, historical reviews, and financial reconciliation processes.


Billing Period and Status

In Billing Period and Status, you will find the temporal overview and current status of the invoice, essential metrics for cash flow planning and operational management of recurrences (subscriptions).

Available data includes:

  1. Period Start: displays the start date of the cycle associated with the invoice;

  2. Period End: displays the end date of the cycle associated with the invoice;

  3. Charged On: displays the date the charge was made;

  4. Status: displays the current subscription status - one of the possible subscription statuses will be displayed;

  5. Type: displays the type of charge made - possible values are subscription cycle with recurring charges, pre-defined cycle, with discount, with surcharge, upgrade or downgrade or trial;

  6. Subscription Cycle: displays the subscription cycle number that the invoice (charge) is associated with.

This information helps to understand the stage of recurrence, allowing you to track when the charge occurred, which cycle is active, and what the status of the subscription linked to the invoice is. This overview is fundamental for forecasting financial inflows, identifying billing failures, monitoring renewals, and maintaining efficient management of subscriptions and cash flow.

you can filter the invoices displayed in the report by period, payment URL, sales status, and charge type. Additionally, you can manage the filters applied to invoice reports. This way you can check the number of applied filters and clean the filters without accessing the Filters icon again, making it easier to remove applied filters.


Financial Details

In this section, the fields consolidate transacted values, which support accounting.

Available data includes:

  1. Value: displays the charge amount;

  2. Tax Amount: displays the tax amount;

  3. Surcharge Amount: displays the surcharge amount applied to the charge - if desired, you can apply a fixed surcharge amount per term to the subscription;

  4. Discount Amount: displays the discount amount applied to the charge - if desired, you can apply a fixed discount amount to the subscription cycles.

These values allow you to understand the financial composition of each charge, detailing taxes, surcharges, and discounts applied. This facilitates invoice reconciliation, ensures accuracy in accounting records, and supports more complete financial analyses of revenues, taxation, and adjustments applied during the billing cycle.


Responsible User

In this section, you identify which internal team member was responsible for the action associated with the invoice, facilitating auditing.

  1. User Name: displays the name of the user responsible for the action;

  2. User Email: displays the email of the user responsible for the action.

This information provides visibility and control over manual interventions or internal adjustments. This facilitates audits and improves process transparency, contributing to the secure management of financial operations on the platform.

You can create and update users and grant roles to users by accessing the Users section in the Guru admin - to do this, access the side menu and click on Settings; then click on Users.
